The Opportunity

Otter Wise Talent Solutions is proud to partner with a respected and growing construction organization to recruit an experienced Project Administrator.

Based in Edmonton, Alberta, this position supports multiple commercial and industrial construction projects from project award through closeout. Reporting to the Project Management team, you will play a key role in maintaining project documentation, coordinating communication between project stakeholders, supporting financial administration, and ensuring projects remain organized, compliant, and on schedule throughout every stage of delivery.

Key Responsibilities

Project Administration

Provide administrative support to multiple Project Managers and project teams.
Maintain complete project files and documentation throughout the project lifecycle.
Coordinate project start-up and project closeout documentation.
Prepare project correspondence, reports, and administrative documentation.
Organize and maintain electronic and physical project records.
Track project milestones, deadlines, and administrative deliverables.

Document Control

Prepare and distribute Requests for Information (RFIs).
Manage submittals and shop drawing logs.
Track document revisions, approvals, and project correspondence.
Assist with change order documentation and project records.
Ensure document control procedures are followed throughout each project.

Financial Administration

Process purchase orders and subcontract documentation.
Assist with project invoicing and progress billings.
Review invoices for accuracy before approval.
Track committed costs and project expenditures.
Support monthly cost reporting.
Coordinate statutory declarations and project closeout documentation.

Project Coordination

Schedule project meetings and coordinate calendars.
Prepare meeting agendas and meeting minutes.
Coordinate subcontractor documentation and compliance requirements.
Support procurement activities and project mobilization.
Track action items and follow up on project deliverables.

Client & Vendor Support

Communicate professionally with clients, consultants, subcontractors, suppliers, and internal teams.
Coordinate documentation requests and project communications.
Support Project Managers with day-to-day project administration.
Build and maintain positive working relationships with all project stakeholders.

Qualifications

The successful candidate will possess:

Minimum 2 years of Project Administration experience.
Experience supporting commercial, industrial, institutional, or civil construction projects.
Strong understanding of construction documentation, project administration, and document control.
Exceptional organizational and time management skills.
Strong written and verbal communication skills.
Excellent attention to detail and accuracy.
Ability to manage multiple priorities and competing deadlines.
Strong problem-solving and organizational abilities.
Proficiency with Microsoft Office, including Excel, Word, and Outlook.

Preferred Qualifications

Preference will be given to candidates with experience in:

Commercial construction.
Industrial construction.
Design-Build projects.
General Contractor environments.
Construction document control.
Progress billings.
Purchase order administration.
Procore.
Bluebeam Revu.
Viewpoint Vista.
Jonas Construction Software.
Microsoft Project.

Competitive salary of $60,000 - $80,000, depending on experience and qualifications.
